The gap between a signed deal and work starting is where a new client forms their first impression of you, and in most small firms that gap is held together by memory. Someone has to remember to send the contract, chase the signed copy, request the documents, set up the account and write the welcome email, usually by copy-pasting last month’s version. That kicks off a sequence that sends the contract for e-signature, then waits on the signature before requesting the documents and details you need through a single client-facing checklist. Anything outstanding gets chased automatically on a schedule, politely and persistently, without a human keeping a tickler file. As items come back, the system creates the client record, project space and accounts in your tools, then sends a welcome email that tells the client exactly what happens next. Your team gets one notification when onboarding completes, and one when something is stuck for too long.

    Pick one trigger: a deal-stage change in your CRM, or a payment landing. One trigger, not three, or you will onboard the same client twice.

    Wire the sequence in n8n, Make or Zapier: deal won, contract out via DocuSign or PandaDoc, wait on the signature, then issue the document checklist.

    The fiddly bit is the chasing. Build the loop that politely re-sends every few days until items arrive. That loop is where the value lives, and it is the part most people skip.
